Presenter Guidelines

Oral Presentations - Data Instructions

If using a PowerPoint presentation (or any other format, such as PDF), please bring it on a CD, a DVD or on a “disk on key” Memory stick (using the USB port in the computer).

All presentations will be uploaded onto the Symposium computers which are being supplied with Office 2010 and Adobe reader (PDF).

Please bring your presentation to the Speakers’ Ready Room and upload it on one of the Symposium computers as early as possible and at least 1 hour before the start of your session.

If combining video films with PowerPoint, make sure to also check it in the session hall where your lecture is taking place, during a break, at least 30 minutes before the start of the session. This should be done even after advising the A/V operator in the Speakers’ Ready Room that your presentation includes a video film.

Important note for Macintosh presentations:
In order to use MAC presentations on a PC compatible computer, you need to prepare it according to the instructions below, before bringing it to the Speakers’ Ready Room:

  1. Use a common font, such as Arial, Times New Roman, Verdana etc. (special fonts might be changed to a     default font on a PowerPoint based PC).
  2. Insert pictures as JPG files (and not TIF, PNG or PICT - these images will not be visible on a PowerPoint based PC).
  3. Use a common movie format, such as AVI and WMV (MOV files from QuickTime will not be visible on a PowerPoint based PC).


Please note that VHS Video projection, 35 mm’ slide projection and Overhead projection (projection of transparencies) will not be available.


Poster Preparation Guidelines

Please check the Final Programme received upon registration to the congress for the number of the poster board allocated to you. Please use the board with the same number.

Dimensions of poster: up to 90cm wide by 150cm high.
Heading: should include the title of the paper, authors, institutions and location of institutions. Letters should be at least 35 mm high.
Lettering for text and illustrations: should be at least 10 mm high. Letters should be bold enough to enable viewers to read the poster from a distance of 2 meters (6 feet).
Recommended Structure: Background, Aim, Method, Results, Conclusions.

Set-up and removal of posters
Poster Session 1 - Monday , July 8 - 14:30-16:00
Set-up: Sunday, July 7 - 15:00-17:00
Removal: Tuesday, July 9 until 10:15 (before the start of the morning coffee break)
Poster Session 2 - Tuesday, July 9 - 14:00-15:30
Set-up: Tuesday, July 9 - 10:20 - 13:30
Removal: Thursday, July 11 until 17:00

Double-sided tape will be available for the mounting of posters.
